Customer Service Representative/ Dispatcher
Job Description
We are seeking a skilled and experienced Dispatcher/Customer Service Representative to join a HVAC contracting company.
The successful candidate will be responsible for efficiently managing and coordinating our field technicians, ensuring timely service delivery to our valued customers. The role requires exceptional organizational and communication skills, with a strong emphasis on customer service and problem-solving.
Position Highlights:
Location: Redlands, Ca
Pay Range: $20-$30 per Hour
Minimum of 2 years of recent experience as a dispatcher.
Previous experience as a dispatcher within the construction or commercial industry, is highly desirable.
Responsibilities:
Serve as the primary point of contact for incoming customer service requests, inquiries, and emergencies.
Schedule and dispatch field technicians to customer sites for repairs, installations, and maintenance work.
Prioritize and coordinate service calls based on urgency, technician availability, and customer requirements.
Maintain constant communication with field technicians to monitor progress, provide updates, and address any issues that arise during service calls.
Monitor the status of ongoing jobs, ensuring technicians adhere to scheduled appointments and complete work within designated timeframes.
Track and record job information, including customer details, work performed, parts used, and time spent on each job.
Utilize software systems to manage service requests, dispatching, and inventory tracking.
Provide exceptional customer service by addressing customer inquiries, resolving complaints, and ensuring customer satisfaction.
Collaborate with other departments, such as sales and accounting, to ensure seamless workflow and accurate information exchange.
Maintain accurate records of customer interactions, service history, and technician performance.
Assist in managing inventory levels and coordinating with suppliers to ensure timely availability of required parts and equipment.
Stay updated on industry trends, technical advancements, and regulatory requirements related to HVAC services.
Requirements:
Minimum of 2 years of recent experience as a dispatcher.
Previous experience in the construction or commercial industry is preferred.
Excellent organizational and multitasking abilities, with strong attention to detail.
Exceptional communication skills, both verbal and written, with a customer-centric approach.
Proficient computer skills, including experience with service dispatching software and basic knowledge of Microsoft Office Suite.
Ability to work in a fast-paced environment and handle high call volumes.
Strong problem-solving skills and the ability to make quick decisions under pressure.
Flexibility to adapt to changing priorities and schedules.
Knowledge of HVAC systems, terminology, and basic technical understanding is advantageous.
High school diploma or equivalent; additional certification or training in customer service or dispatching is a plus.
